Changing membership of Email Distribution Lists and Microsoft 365 Groups

What are Distribution Lists and Microsoft 365 Groups?

Both are ways to group people together for sharing documents

  • A Distribution List is a list of email addresses for people to whom we want to send an email on a common subject. Examples are the Kirk Session Distribution List (which contains all Trustee Elders) and the Worship Team Distribution List (which contains all members of the Worship Team). A Distribution List can contain people with both tryst.church email addresses and other email addresses (e.g. gmail, hotmail, etc). But note that all of the people have to be already registered on the system (to add a new person, please contact the IT Group).
  • A Microsoft 365 Group is an area within the Microsoft 365 system where documents can be stored and edited (e.g. meeting agendas and papers). People can also be members of a Microsoft 365 Group, but only if they have a tryst.church email address. Examples include ‘Kirk Session Admin’ and Worship Team Admin’. Typically, the members of a Microsoft 365 Group will be all the Tryst Church members of the relevant Team who have tryst.church email addresses, although it’s likely that it will be the Convenors and Deputy Convenors who will make most use of their Microsoft 365 Groups.

People who are Owners of a Distribution List or Microsoft 365 Group can add and delete the members. Owners are usually the Convenors and Deputy Convenors of the relevant Teams (the Session Clerks in relation to the Kirk Session).

IMPORTANT NOTE: For the Kirk Session and its Teams there is both a Microsoft 365 Group (e.g. ‘Kirk Session Admin’, ‘Worship Team Admin’, etc) and associated Distribution Lists (e.g. kirk.session@tryst.church, worship@tryst.church, etc). Therefore is there is a change in membership of the Kirk Session or a Kirk Session Team, both the Microrosft 365 Group and the Distribution List will need to be changed.

The steps to change membership of Distribution Lists and Microsoft 365 Groups are summarised below.

Distribution List Membership

  • Log into Microsoft 365
  • Click the ‘Apps’ icon at the left-hand side
  • Go to Outlook
  • Go to Settings, General Settings and Distribution Groups (this is the old name for Distribution Lists)
  • Click on ‘this portal’.
  • Click on ‘Groups I own’
  • Click on the Distribution List for which which you wish to modify the membership
  • Click on ‘Members’ at the right-hand-side
  • Click on ‘View all and manage members’
  • Add or delete members as appropriate

Microsoft 365 Group Membership

  • Log into Microsoft 365
  • Click the ‘Apps’ icon at the left-hand side
  • Go to Outlook
  • Click on ‘Go to Groups’
  • Click on the Group for which you wish to modify the membership
  • Click on ‘Members’
  • Add or delete members as appropriate
